Summary of Responsibilities:
Coordinates and participates in strategic development planning and activities for senior management and all fund-raising units, and maximizes both annual unrestricted income and targeted support for strategic institutional priorities. Provides research and administrative support to the college/program fundraising officers.
Duties and Responsibilities:
Foundation:
Schedule and secure meetings for the Board of Directors and the Boards of Advisors.
Record minutes of each meeting. Prepare minutes for review by Vice President and Secretary of respective boards.
Maintain correspondence with each group (distributing meeting minutes, announcements, phone calls, etc.).
Manage financial services.
Manage scholarship process.
Manage Neighborhood Investment (NIP) tax credit program.
Maintain required registrations, licenses, insurance and memberships.
Review and process gifts, ensuring required documentation package is complete and accurate. Assign purpose and solicitation codes, and other required information.
Provide administrative and programmatic leadership to the Boards and committees.
Serve as senior liaison with the Board and coordinate efforts of the boards and their committees.
Define best practices for the engagement and management of boards and communicate these practices to the development community.
Institutional Advancement:
Event Planning and Production.
Provide leadership in the creation, planning and execution of cultivation and stewardship programs to extend the reach of the institution.
Collaborate with business units to produce strategic outreach efforts that support cultivation and solicitation plans associated with strategic initiatives and develop stewardship plans to engage donors.
Manage the Donor Relations function, its resources and its financial stability.
Review and process gifts, ensuring required documentation package is complete and accurate. Assign purpose and solicitation codes, and other required information.
Assist in the collection, maintenance, and distribution of gift information, and other constituency information for the entire college that is maintained on an automated college-wide constituency information system.
Provide assistance to Development Officer and with regard to the administration of gifts and donor records.
Prepare a variety of reports including contact and giving history and prospect clearance status using constituency information database. Enter data into constituency information database on a timely basis for prospect tracking purposes.
Participate in the formulation of fund-raising strategies for College-wide and specific projects through meetings and discussions with college/program development staff.
Conduct research on prospects including individuals, corporations and foundations identified by development officers as potential sources of private funds for specific projects in the College/Program. In addition, conduct ongoing research in business, philanthropy and related fields to identify potential donors and sources of donor information.
Present results of research in the form of written reports which include, as appropriate both detailed information organized to facilitate retrieval and analyses of the significance of the information. Reports may include copies of resource materials as needed. Prepare copies of reports for inclusion in research files for use of other research and development staff.
Make recommendations about appropriate contacts or visits for development staff; Assist the Vice President in development-related activities as assigned.
Assist in identifying and marking materials for inclusion in prospect, project and subject files and in maintenance of files and other record-keeping systems.
Remain current with events and trends in local, national and international business, finance and philanthropy.
Acquire and maintain current knowledge of public activities and internal projects, policies and procedures of the College.
Collaborate with members of the college foundation team in the achievement of goals.

Education/Licensure:
Bachelors Degree
Valid drivers license
Experience:
Qualified candidates will have over one (1) year of experience with the following:
Prior work experience in a professional office setting with multiple responsibilities and tasks
Using independent judgment, problem solving and decision making skills
Contact with internal and external customers in a wide variety of settings and levels of individuals
Computer knowledge (software-QuickBooks, Microsoft Office (Excel, Word, Publisher, Groove), Joomla, Adobe, Raisers Edge)
Extensive organizational skills
Non-profit or foundation board management or support
An equivalent combination of education and related experience may be acceptable.
Required Skills, Knowledge, and Abilities:
Excellent communication skills
Knowledge of standard office equipment, filing systems and record management

Knowledge of English grammar, usage and spelling

This is an Exempt, Classified, pay grade 16 position with a starting salary of $28,821 per year.
