Qualifications Administrative Secretary
(Allied Health Education Center – Summersville, WV)

Summary of Responsibilities:
Assists in the everyday operation of the Allied Health Division and the School of Practical Nursing. Provides administrative support to the division of Allied Health program and undertakes duties associated with specialized program student admissions, student record management, and client service as directed by the supervisor. Performs a variety of support duties which requires a range of skills and knowledge of organizational and program policies and procedures while maintaining a confidential environment. Manages information flow through the office of the Allied Health Division Chair, provides administrative support to the Director of the School of Practical Nursing.
Duties and Responsibilities:
• Answers multiple phone lines, receives walk-in guests and telephone inquiries.
• Provides accurate information on programs, policies, procedures, and regulations.
• Resolves matters by interpreting and applying rules and regulations.
• Refers complex or sensitive matters and/or routes calls to supervisor or to the appropriate administrator or faculty.
• Maintains daily contact with the Division Chair and School of Practical Nursing Director via phone and e-mail when they are out of the office.
• Maintains phone log for messages while prioritizing important/urgent calls.
• Receives, opens and prioritizes incoming mail. Processes outgoing mail for the staff and faculty located at the Allied Health Education Center.
• Composes and types correspondence, memoranda, reports, and forms from handwritten notes and typewritten copy. Proofreads documents for typographical and spelling errors.
• Organizes, creates and maintains files, spreadsheets, reports, and documents. Responsible for various tracking data.
• Prepares and maintains materials required by state and national Allied Health accreditation bodies.
• Maintains faculty files, course syllabi and lesson plan files.
• Collects and forwards monthly time sheets for extra help personnel and work study students.
• Manages and supervises work study students.
• Accurately retrieves data from Banner database.
• Updates Allied Health program policies and procedures.
• Maintains program calendars.
• Schedules Allied Health Advisory Committee meetings, notifies members, arranges meeting site including set-up and ordering of refreshments, provides secretarial services for the advisory committee and maintains meeting minutes and documents.
• Assists with the organization, planning and set up of special events as requested by the Division Chair and/or Allied Health Program Directors. Participates in meetings, conferences, workshops, special events and receptions as requested.
• Serves on college committees as requested and approved by supervisor. Schedules meetings for committees or sub-committees called by the Division Chair, issues notices, agendas, and serves as the secretary for these committees.
• Monitors and tracks monthly expenses of the School of Practical Nursing and other Allied Health programs. Prepares and submits travel expense reimbursement forms and reconciles monthly purchase card log.
• Prepares purchase orders; completes receiving documents once items have been received.
• Orders supplies, materials, and hospitality items and may be asked to pick up such items.
• Other duties as assigned.

Position may require travel between campuses.

Education:
The position requires a high school diploma/GED and 18 months of education in secretarial science or a related field.

Required Experience:
At least one year secretarial experience in an office setting

An equivalent combination of education and related experience may be acceptable.

Required Skills, Knowledge, and Abilities:
• Type 45 words per minute with accuracy.
• Must be able to structure work assignments to produce maximum quality and quantity with a minimum of supervision.
• Must possess a cooperative attitude along with the ability to communicate well with people and to maintain harmonious working relationships.
• Proficiency in Microsoft Office, (Excel, Word, Power Point, Publisher and Outlook)
• Requires the ability to plan, organize and prioritize work in order to meet schedules and timelines.
• A general working knowledge of college operations and procedures, with emphasis on Admissions.
• Use of preferred database required (Sunguard Banner)
• Ability to multi-task under pressure.
• Initiative to provide outstanding customer service
Compensation $19,916.00

Internal applicants that meet the minimum qualifications will be given preference. This is a grant funded, non-exempt, classified, pay grade 10 position with a starting salary of $19,916 per year.
